Set up the folders

  • Create folders for each month and separate folders for revenue, expenses, payroll, vendors and business documents.
  • Keep business and personal transactions distinguishable.
  • Choose one naming pattern: date, vendor, document type and reference number.
  • Use access controls and backups for financial records.

Gather the source records

  • Collect business bank and credit card statements and reconcile missing periods.
  • Keep invoices, receipts, purchase orders, payment confirmations and refunds.
  • Gather payroll reports and contractor payment records where applicable.
  • Keep loan statements, asset purchases and major contracts organized.

Track open questions

  • List transactions with unclear purpose or missing receipts.
  • Flag duplicate charges, unpaid invoices and unmatched deposits for review.
  • Record changes in business activity, locations, ownership or major equipment.
  • Ask the appropriate professional about retention periods and required reporting.

Prepare a secure handoff

  • Summarize missing items and the responsible person for each.
  • Use a secure upload route agreed with your professional.
